Everything below is included at every site, with unlimited visitors, hosts and tablets. Enterprise identity and Spaces are priced separately.

A 30-day pilot on your own tablet, set up with you.

Every arrival, handled

  • Four sign-in journeys
  • Questions you choose
  • Host search
  • Expected visitors
  • Host notification, when the host is in your directory
  • Contractor approval Their host is told only when the host is in your directory.
  • Employee PIN sign-in
  • Keeps signing visitors in when the wifi drops While offline the kiosk runs a basic sign-in without your documents, questions, photo or host search. Contractor inductions, permits and employee PINs need a connection, and a contractor signed in offline on a journey that asks for an induction or a permit isn’t recorded. The watchlist is checked when it reconnects. A sign-in still waiting on the tablet isn’t on a fire roll-call started before it syncs.
  • Seven kiosk languages
  • Pre-registration and bulk import
  • Deliveries desk
  • Built for shared buildings
  • Many sites, one account
  • Runs on the tablet you already have

Everyone accounted for

  • Live fire roll-call
  • Holds through dropped signal The roll-call page must already be open before the signal drops.
  • Practice drill or real evacuation
  • All clear gated
  • A warden role
  • Made for the warden's phone
  • Who is on site now

A record you can stand behind

  • NDAs and health and safety documents Documents need a connection, and a document that can't load can be skipped.
  • Document versions on record
  • Tamper-evident audit log
  • Retention you set for each site
  • Visit history and reports
  • Erasure from the admin portal
  • Six roles
  • REST API
  • Signed webhooks
  • Kept separate for every organisation
  • Encrypted in transit and at rest

Add-ons

Enterprise identity

£2,400 per organisation per year, ex VAT

£2,880 a year including VAT

SAML single sign-on and SCIM directory sync for every site in your organisation, with a step-by-step Microsoft Entra guide.

  • Single sign-on works with any SAML 2.0 identity provider, is set up by the account owner in the portal, and comes with a step-by-step Microsoft Entra ID guide.
  • Owners can require single sign-on, so the identity provider's multi-factor authentication and conditional access govern portal access.
  • SCIM directory sync adds new staff as hosts, removes access for leavers and ends their sessions, every four hours or on demand, with a Microsoft Entra guide.

Spaces

Available as an add-on. Ask us about early access.

  • Spaces books rooms, desks, parking spaces and equipment against weekly availability, prevents double-booking and sends calendar files. Beta Managers and tenant admins book today, and staff self-booking is not available yet.

FAQ

Questions about pricing

What counts as a site?

A site is one building with its own address, where people sign in. Each site has its own sign-in journeys, branding and retention settings, and as many reception desks and tablets as it needs.

Do you charge per visitor?

No. The price is per site, and every site includes unlimited visitors, hosts and tablets.

Is VAT included?

No. Prices are shown ex VAT, and VAT is added at 20%: £714 a year for each site and £2,880 a year for Enterprise identity.

Is single sign-on included?

Not in the site price. It is part of Enterprise identity, which adds SAML single sign-on and SCIM directory sync for every site in your organisation, for £2,400 per organisation per year, ex VAT.

Can we pay monthly?

ReceptionOS is priced per site per year. If you'd rather spread the cost, tell us when you book a demo.

What happens after the pilot?

The pilot runs for 30 days on your own tablet, and we set it up with you. If it suits you, each site carries on at £595 per year, ex VAT. If it doesn't, you stop there, and there's no hardware to send back.

Do you offer charity or education pricing?

We don't publish separate prices for charities or schools. If you're a registered charity or a school, tell us when you book a demo.

Do we need to buy tablets?

Not from us. ReceptionOS runs on an iPad or Android tablet, including one you already have, installed from the browser with no app store. We don't sell hardware.

See it on your own front desk.

Book a demo, and if it fits, we’ll set up a 30-day pilot on a tablet you already own.

In a demo we’ll show you:

  1. The kiosk in English, then Cymraeg
  2. A contractor held for approval
  3. A live roll-call across two phones, one losing signal
  4. The audit log being verified

We reply within one working day.
